What is a CAE LearningSpace Virtual Room?

A virtual room in CAE LearningSpace is a special type of room with different functionality compared to a regular CAE LearningSpace room. It serves for hosting a virtual meeting that relies on a 3rd party application designed for this particular purpose.

 

What Audiovisual Equipment is Needed?

The virtual meeting uses the client computers’ web camera and microphone.


How are Meetings Organized in CAE LearningSpace using Virtual Rooms?

CAE LearningSpace requires a 3rd party account with access to API (please contact your 3rd party vendor directly for more information). CAE LearningSpace then uses this account via the API to start and stop instant meetings.


How are Meetings Recorded in Virtual Rooms?

CAE LearningSpace does not record the virtual meeting hosted in the Virtual Room, but downloads the recording made and stored by the 3rd party application in the cloud.


How are Recorded Meetings Stored in CAE LearningSpace?

Once downloaded, the recording of the virtual meeting is retained on the video storage of CAE LearningSpace as if it were a recording made with regular CAE LearningSpace Audiovisual equipment.


Does CAE LearningSpace Need Special Ports to be Open for the Virtual Meeting to Work?

CAE LearningSpace needs to be able to connect to the Internet on TCP port 443 (HTTPS) to be able to communicate with the 3rd party vendor application’s API and to download recordings of virtual meetings.

Client computers need to be able to connect to CAE LearningSpace on TCP port 443 (HTTPS) and to the Internet to be able to participate in the virtual meetings.


Does End-to-End Encryption for Virtual Rooms Work with this Process?

End-to-end encryption means that messages at both ends of a conversation are encrypted, end-to-end encryption prevents anyone in the middle from reading private communications, even the vendor. When end-to-end encryption is enabled cloud recording is disabled, hence no video recording is available for CAE LearningSpace to download from the cloud.


What are the Recommended Settings to Secure the Meeting?

Without compromising functionality but having an adequately secure meeting environment, CAE recommends

  • to enable password protection for instant meetings;
  • to allow only the host to share the computer’s screen;
  • to disable file transfer.
