The tab lists all restrictions through which access features of an activity can be further limited, customized.

By ticking a checkbox at a particular option, it becomes valid for the activity.


The following table explains what each option entails:

Disable learner data entry

The learners of an activity (members of a group assigned as the Learner group on the Participants tab) will be prevented from data entry.

The option can be withdrawn at any time to restore learner access to data entry.

Even if this option is checked, the activity will still be listed on the learners' dashboard, but the Data Entry button will not be available.


Use this setup if you plan to complete an SP training with the activity.

Data entry only allowed from

With this option, data entry can be limited to specified computer stations of your institution network. Therefore, for instance, learners cannot access their data entry from home.

CAE Healthcare recommends turning to your network administrator or IT professional for assistance before using this option.

To restrict data entry to certain computer stations, provide either one of the following:

  • IP addresses starting with numbers: IP addresses beginning with the specified numbers become the sole data entry clients for the activity.
    OR
  • hostnames ending in a certain domain name. Only the computers with the specified hostname-ending can be used for data entry.
By default, devices do not have a hostname. You need to check with the IT professionals of your institution about the hostname registry of the devices.
However, all of them have an IP address, usually starting with the same array of numbers for the entire organization.

Data entry only allowed from the manually authorized workstation

By selecting this option, data entry is only allowed from an activity's or event's manually authorized workstations (special computers added to the system).

Data entry only allowed for scheduled SPs (if assigned)

Apply this option to warn SPs if they are trying to log into a workstation in the wrong room. In Advanced Scheduling, SPs assigned to a particular case can still access every other case assigned to the activity by default, without applying this restriction.

In case of scheduled events, you can grant scheduled SPs exclusive access to the workstation of the case they are assigned to. This way, SPs can only access and submit data entry of the case they were assigned to on the Scheduling (SP assignments) page.

SPs trying to log in the wrong workstation will receive the following message:

Each case is assigned to at least one room, and each room needs to have authorized workstations set up in them in order to apply this restriction.

Summary

With applying this option—along with correct room and workstation settings—, SPs will not have access to the other cases assigned to the activity and will not submit accidentally the data entry of learners they did not have an encounter with.

Jump to classic FON data entry page from the Your Activities table

When this option is enabled, clicking the FON Data Entry button an activity in the Your Activities panel will navigate to the classic view of FON data entry—instead of the Video Review page.

Allow access of other activity from stations assigned to this activity

By applying this option, you grant access to other activities from the workstation computer assigned to the particular activity.

Log out users after
Post-Encounter Submit

When this option is enabled, learners are automatically logged out of the system after submitting their Post-Encounter checklist (for any of the cases assigned to the activity).

Log out users after
Pre-Encounter Submit

When this option is checked, learners are automatically logged out of the system after submitting their Pre-Encounter checklist.

Multiple independent SP & FON submissions allowed

Enabling this option allows more than one SPs to complete the same checklist for the same student and more than one FON Data Entry user to review an encounter.

IMPORTANT: When this option is checked, in case of multiple submissions for one specific learner, the score for a particular questionnaire is going to be the average of the scores given by the different faculty.

Allow Post-Encounter access only after student encounter

By checking this option, learners can only access the Post-Encounter Learner Part of an assigned case if one of the following three conditions is met at the moment of selecting a case:

  • for the given Activity/ Case/ Learner combination, the learner has an SP submit
  • for the given Activity/ Case/ Learner combination, the learner has a FON submit
  • for the given Activity/ Case/ Learner combination, the learner's recording is either completed, or is in processing status (i.e. the video has to have been stopped by the time the learner selects the case).

Allow SP part access only after Pre-Encounter submit

When this option is enabled, SPs can only access the SP Part after the learner has submitted the Pre-Encounter Learner Part.

Activity is available with Restricted Browser only

When this option is checked, participants can only access the activity from a CAE LearningSpace Restricted Browser.

Display current score in FON data entry

When this option is selected, score will be displayed and continuously updated during FON data entry.

Show learner's photo on SP checklistChecking this option results in the display of the learner's photo (if uploaded in the User Manager module) on the checklist the SP fills out for the particular learner.
