Available to users with Admin, Video Control, Video Full Control, Live Video, or FON Data Entry privileges

Click Recording on the Dashboard.

You land on the Center Overview (CO) screen, where you can see live video feeds of all the rooms available in your system.

NOTE: If your system is a single-room configuration, the Recording icon navigates directly to Single Room View (SRV).

Privileges

1. Admin

Users with Admin privilege can access every room at all times and can use all functions of the Center Overview and Single Room View.

(lightbulb)Important Note about Automatic Recodings

Recordings are performed automatically when:

a. RNSA login has been set in a room and video start and stop triggers have been defined in Activities

OR

b. an event booked in a room has been created with Scheduling and has a timeslot structure that controls the video recordings

The above settings will be altogether referred to as automatic recordings in the guide. Automatic recordings may override certain functionalities that otherwise would be available.

2. Video Full Control

  • Has access to every room available at Center Overview in Recording
  • Can control recording in all rooms (start, play/pause, Go live!, stop)
  • Allowed to edit the Record control panel: add or modify activities \ cases \ groups \ learners \ SPs except when automatic recording is in progress.
  • Can add annotations any time

When automatic recording is in progress, the Video Full Control user still has access to the recording controls, but only has to intervene if necessary.

3. Video Control

This privilege has certain restrictions compared to Video Full Control. 

3.1 Rooms without RNSA or any previously added activity

(tick) Users with Video Control privilege have full access to rooms where there isn't any activity added yet to the room's Record control panel.

In this case, the Video Control user is free to:

  • launch and control recording
  • add annotations

without having to define activities \ cases \ groups \ learners \ SPs. 

  OR

  • Can add any activity s/he is assigned to as a faculty member
  • Have control over the Record control panel
  • Control the recording of the activity s/he added
  • Add annotations to the recordings 

3.2 Rooms where RNSA is set up or an activity is added by another user

Here, the rule of thumb is that the Video Control user can only access rooms if s/he is a member of the faculty group of the activity.

Special Access to Video Creation for Video Control Users

If a Video Control user tries to access a room where an activity is already added by scheduling or non-scheduled activity setup, and the user is not a member of the activity's faculty group, the room appears as "Not Available!" on Center Overviewand s/he cannot enter.

(warning) There is an exception when the Video Control user can access the room of an activity even if they are not assigned to it as faculty:

  • if the activity is added by another user (Admin or Video Full Control) to the room using the Record control panel 
    In this case, the Video Control user can start or create a recording in the room if needed—if there are no users (intentionally or unintentionally) in the activity's faculty who have access to Recording.
    The Video Control user is limited to recording controls: 
    start, play/pause, Go live!, stop but cannot add annotations or adjust the Record control panel.

(tick) If a member of an activity's faculty group, the Video Control user is able to:

  • Access the rooms available on Center Overview in Recording
  • Can control recording in the rooms (start, play/pause, Go live!, stop)
  • Edit the Record control panel: add or modify activities \ cases \ groups \ learners \ SPs except when automatic recording is in progress.
  • Can add annotations

When automatic recording is in progress, the Video Control user still has access to the recording controls, but only has to intervene if necessary.

4. Live Video

Live Video privilege is designed to view running recordings without having access to the Start and Stop record controls.
Consequently, Live Video users cannot create recordings.

Live Video users can only access the functionalities they are allowed to use if a recording is in progress.

4.1 Rooms without RNSA or any previously added activity

Users with the Live Video privilege can access any room where there is no activity added yet.

(error) Live Video users are restrained from:

  • starting or stopping recordings
  • modifying the Record control panel (cannot add activities \ cases \ groups \ learners \ SPs)

(tick) However, while recording, the Live Video user can:

  • pause/play the recording or use Go live!
  • add annotations
  • the Record control panel displays the details of the recording

4.2 Rooms where RNSA is set up or an activity is added by another user

Here, the rule of thumb is that the Live Video user can only access rooms if s/he is a member of the faculty group of the activity.

If a Live Video user tries to access a room where an activity is already added, but the user is not a member of the activity's faculty group, the room appears as "Not Available!" on Center Overview, and s/he cannot enter

(warning) There is an exception when the Live Video user can access the room of an activity even if they are not assigned to it as faculty:

  • if the activity is added by another user (Admin, Video Full Control or Video Control) to the room using the Record control panel 

(tick) In this case, the Live Video user can pause/play, click Go live!  but cannot add annotations.

(tick) If a member of an activity's faculty group, the Live Video user is able to:

  • Access the rooms available on Center Overview in Recording

(tick) While a recording is in progress, the user can

  • view details on the Record control panel, but cannot modify
  • pause/play the recording or use Go live!
  • add annotations

5. FON Data Entry

With this privilege, a user can submit Faculty Observation and Narrative (FON) checklists. 

Also, the Recording module is available on the FON user's dashboard: the system enables FON users to view live recordings of learners and submit FON checklists at the same time.

To view and access the Data entry panel during live recording:

  • the activity, case, learner group, and at least one learner needs to be added on the Record control panel

(lightbulb)The FON user is able to evaluate several users or even the entire group all at once.

Data in the Record control panel is either filled automatically if Scheduling is in use or adjusted manually by an Admin, Video Control or Video Full Control user.

(lightbulb) A user cannot launch or stop recording with FON data entry privilege; therefore cannot create recordings.

The name(s) of the learner(s) who is\are currently being recorded will be displayed at the bottom of the Record control panel.

During recording, the FON data entry user cannot modify details on the Record control panel (not even adding or removing learners).

FON users can edit the Record control panel and select learners while there is no recording in progress.

(warning) However, settings entered on the Record control panel by a FON user are overridden by any other user's settings – Admin, Video Control or Video Full Control – at the moment the recording is launched.
